About the Assignment
The primary objective of this role is to provide a comprehensive secretarial service to the Upstream Oil & Gas senior management team to enable them to optimise their work style and outcomes.
Key responsibilities will include:
- Be the key contact for the senior leadership team on administrative issues.
- Organise meetings, and book video conferences and meetings as required.
- Review and respond to meeting requests and address conflicts within the Leader's schedule
- Arrange international and domestic travel, visas, and accommodation, car and conference bookings as required with approved Santos processes and systems
- Provide agendas and minutes for appropriate meetings
- Draft weekly and/or monthly reports and ensure timely delivery of reporting requirements
- Anticipate needs and initiate action to facilitate the work activities of the leaders.
- Respond to general queries in a timely and efficient manner.
- Assist in the preparing, formatting and sharing of presentations and documents, ensuring standard formats are followed
- Process invoice payments in a timely manner via the Coupa financial system
- Liaise with external law firms on matters relating to accounts and invoices
- Support with administration of paralegal activities such as non-disclosure agreements and financial assurance
- General office administration support as required
- Assist in the planning, logistics and administration of events such as team Town Halls, off-sites and business meetings
About You
To be successful in this role you will have the following key attributes:
- Extensive experience with Microsoft Outlook; Word, PowerPoint; Excel, Teams, Skype
- Ideally experience with Coupa, SuccessFactors; SharePoint
- A proactive and 'can do' attitude
- Ability to problem solve and a high level of attention to detail
- Excellent communication skills both verbal and in writing
Mandatory Tickets / Quals / Certs
- A degree in Business Administration
- Previous secretarial experience
