Who are we looking for?

We're looking for an Executive Assistant to join our Delivery Phase Services (DPS) team

The Executive Assistant will provide high-level administrative support to the Regional General Manager for Delivery Phase Services. In this diverse role you will also provide project administration support to the region.  

Working with an energetic and high performing team, this position offers a variety of work and will see you involved in a number of key areas:

Regional General Management Support - Primary Function

  • Provide professional, confidential administrative and secretarial support, including complex diary management and meeting scheduling
  • Arrange national / international travel and travel-related activities
  • Assisting with preparation of internal and external presentations and papers
  • Coordination of credit card reconciliation

Leadership Team / Management Team Support

  • Coordination of inputs for Weekly and Monthly leadership meetings
  • Scheduling Project Review meetings, Market Leader meetings, and similar
  • Scheduling and Coordination of Tender Review Group meetings

Region Administration & Events Facilitation

  • Managing email distributions lists and MS Teams channel access
  • Coordination of the monthly regional Newsletter
  • Internal intranet site management
  • SharePoint Administration and management of various confidential folders and SharePoint libraries
  • Facilitation of regional events and functions, Leadership and Key Client meetings and other events as required.

What you will bring to the team: 

  • Typically, 7+ years relevant experience, where performance has met/exceeded expectations
  • An active member of an Executive Assistant professional association 
  • Advanced computer literacy including MS Word, MS Excel, MS PowerPoint and SharePoint
  • Exceptional interpersonal and negotiation skills
  • Excellent written and verbal communication skills 
  • Sound judgement, lateral thinking and the ability to remain calm under pressure
  • Ability to prioritise, multi-task, and meet deadlines
  • Ability to build strong rapport with key stakeholders and retain a high level of confidentiality
