As an Executive Assistant at Mexx Engineering, you'll play a pivotal role in supporting our executive leadership team and ensuring the seamless operation of our organisation. Your Responsibilities:

You'll be at the forefront of strategic HR management, fostering a top tier workplace ethic and culture while overseeing recruitment and employee relations. Additionally, you'll spearhead ISO compliance efforts, maintain certification, and continuously improve and streamline organisational processes. Stay informed on legal matters, communicate effectively, and drive research and development initiatives to identify and action opportunities for innovation across all departments. Collaborate with the marketing team to enhance brand presence, manage finances aligning with targets, and optimise processes for efficiency. As an Executive Assistant, streamline schedules, coordinate meetings, and act as a gatekeeper to ensure the director's time is used effectively.

Key Responsibilities:

  • Strategic HR Management: Take charge of HR matters at the highest level, from recruitment to employee relations, cultivating a high-performance, results-oriented workplace ethos and culture fueled by passion, drive, and innovative thinking.
  • ISO Compliance: Coordinate ISO audits to maintain our certification, while also spearheading initiatives to continuously improve and streamline processes and uphold best practices across the organisation.
  • Legal Compliance and Communication: Stay updated on relevant legal issues and ensure effective communication strategies are in place to keep stakeholders informed and compliant.
  • Research and Development Support: Engage in extensive research and development activities, including identifying and pursuing government grants and other funding opportunities to drive innovation and growth.
  • Marketing, PR, and Social Media: Collaborate with the marketing team to execute strategic initiatives, manage public relations efforts, and oversee social media channels to enhance our brand presence.
  • Financial Management: Take ownership of budgeting and financial management, aligning expenditures with company targets and providing insights to support informed decision-making.
  • Process Optimisation: Identify opportunities to streamline processes and administrative tasks, driving efficiency and effectiveness throughout the organisation.
  • Executive Support and Coordination: Streamline executives' schedules, actively participate in various activities including meetings, presentations, site inspections, audits, and media events, while also managing communications and requests to maximise the director's efficiency and productivity.

Requirements:

  • Proven results in a similar role, preferably within the robotics or engineering industry, showcasing your ability to excel in a fast-paced, dynamic environment.
  • Strong comprehension of HR practices, ISO standards, and regulatory compliance, with a demonstrated capability to implement and maintain these frameworks effectively.
  • Outstanding verbal and written communication skills, coupled with strong interpersonal abilities to engage with diverse stakeholders at all levels.
  • Ability to multitask, prioritise, and adapt in a fast-paced environment, enabling you to juggle various competing responsibilities and priorities seamlessly.
  • Proficiency in financial management and budgeting, demonstrating your aptitude for overseeing quality, time and costs efficiently.
  • Strategic thinker with a proactive approach to problem-solving, and meticulous attention to detail, ensuring that no opportunity for improvement is overlooked.
  • Bachelor's degree in business administration, human resources, law or related field (preferred but not necessary).
