The Company The company is a prestigious law firm where the Executive Assistant plays a crucial role in supporting the Managing Partners. As an EA, you will provide comprehensive secretarial and administrative support, serving as the main point of contact for the Partners' clients and staff. Your responsibilities will include ensuring the smooth operation of the Partners' offices and related practice groups, while maintaining strict confidentiality on all matters pertaining to the Partners' work and the firm's activities. The Role To be considered for this role as an Executive Assistant, you must demonstrate experience in the following key responsibilities: - Managing various administrative tasks for the Partners, such as monitoring their inboxes, responding to emails, managing calendars, drafting confidential correspondence, and arranging travel.- Planning and coordinating the Partners' schedules, ensuring all commitments are followed up on.- Attending client meetings to take minutes and track action items, as needed.- Prioritizing conflicting needs and handling matters efficiently to completion.- Communicating directly with clients on behalf of the Partners to maintain positive relationships.- Conducting research and providing information and solutions to the Partners as required.- Providing project administration support to special counsel and other subject matter experts.- Assisting with maintaining professional memberships and training requirements.- Building effective relationships with firm leadership and staff.- Managing access to the Partners while ensuring appropriate direct access.- Supporting business development initiatives and marketing-related events.- Organizing travel and accommodation for ANZ partners and staff.- Liaising with other Global Personal Assistants and providing administrative support to visiting partners.- Performing any other duties as required by the Partners. About you To thrive in this position, you should have over five years of EA/PA experience, preferably in law firms and multinational organizations. With strong communication, decision-making, and problem-solving abilities, you excel at prioritizing tasks in fast-paced settings, managing diaries, and travel efficiently. Known for your attention to detail and adaptability, you consistently deliver high-quality work while adhering to the firm's values. Your exceptional interpersonal skills, meeting deadlines promptly, and proficiency in MS Office and other computer programs are also notable attributes.
