We are now seeking an Executive Assistant to support our Chief Executive Officer on a Full-Time and permanent basis, based at our office in Fortitude Valley.

ABOUT THE ROLE
This is an important and valued role working with the Chief Executive Officer in a position that relies on being a trusted advisor, maintaining confidentiality and engaging professionally with stakeholders at all levels in the organisation, including the executive team and the Board.
You will be responsible for:
- Provide executive support to the CEO including diary management, email management, travel, document management and general administrative and secretarial support.
- Maintain effective relationships with key contacts and relevant stakeholders and ensuring appropriate responses are provided and that clear and comprehensive details are taken and delivered.
- Schedule all board meetings, assist to prepare agendas and prepare minutes for approval and circulation
- Coordinate the administration of Board meetings and Board function including catering and room preparation
- Schedule and coordinate internal and external meetings; respond to meeting requests, ensuring the most efficient use of time by the CEO
- Effectively coordinate and follow-through of the activities and commitments of the CEO
- Proactively follow-through on behalf of the CEO, tasks delegated to ELT members and Directors and resolve issues or escalate as needed
- Coordinate the calendar of executive leadership meetings including the setting of agendas, keeping of minutes and follow-through of agreed actions
- Provide secretariat support for sub-committees of the Board, where required
- Comply with all legislative and licensing requirements relating to corporate governance
- Undertake projects as required
- Positively contribute to a culture of client service excellence and continuous improvement
- Maintain discretion and confidentiality in all internal and external relationships, engagements, and communications. Use a common-sense approach to the work and apply good judgement.
- Provide leadership and development to administrative support staff
ABOUT YOU
As a successful Executive Assistant to the CEO, you are a self-starter and able to use initiative to deliver high quality work and achieve results. You will be able to demonstrate and promote the Y Queensland’s values and proactively contribute to the mission and the achievement of the Strategic Plan.
The ideal candidate will demonstrate:
- Experience and high capability as an Executive Assistant to senior executives in a professional environment, and preferably can also demonstrate experience in contributing to the secretariat function to a Board or equivalent
- Highly developed communication and interpersonal skills, both written and verbal communication and the ability to build and maintain positive and effective professional relationships
- Ability to achieve results, including highly developed organisational skills, manage deadlines and competing priorities, solutions-focused, ability to adapt quickly to change and the ability to deliver a high standard of work
- Experience and capability to manage corporate governance functions, such as reporting and compliance activities
