About the Opportunity
We are currently seeking an enthusiastic and experienced Executive Assistant to support our Executive Director Impact Missions.
You will actively contribute to a high-performing team and drive impact by working productively and efficiently, collaborating closely with other Focus & Enabler areas and Corporate Services as part of our matrix structure and championing our One Minderoo Culture.
Your day to day will include:
- Management of EDs emails, ensuring volume is kept manageable, emails prioritised and tasks delegated accordingly.
- Investigation and follow up of matters on behalf of the ED and where required, making decisions in their absence.
- Diary management utilising high levels of discretion and judgement to prioritise the ED’s commitments and resolving conflicts in a rapidly changing environment.
- Planning and coordination of often complex interstate and international travel arrangements booked well in advance to capitalise on cost savings and maximise time.
- Timely processing of financial transactions – Purchase requisition, purchase order, MediusFlow and FlexiPurchase.
Qualifications
About You
The successful candidate will be well versed in stakeholder engagement and will have previous work experience in a fast paced, agile environment, supporting a senior executive/s.
In addition you will have:
- Collaborating and influencing skills with demonstrated ability to build trust, serve as a team player and understand the value of interpersonal relationship building.
- Strong written and oral communication skills, seamlessly adjusting to different working styles and communicating effectively with all internal and external stakeholders.
- High level of discretion and confidentiality.
- Excellent time management to optimise schedules and make the best use of time and resources.
- Ability to remain calm under pressure, respond positively to change, and perform tasks with care and accuracy.
- Advanced skills in MS office including Outlook, SharePoint, Excel, PowerPoint, and Microsoft Teams.
