The Executive Assistant (Maternity Leave Cover, 12 months) role is designed to be fully functional in the 4-Day work week trial.
Job Summary
We are looking for a motivated Executive Assistant to provide executive level administrative support for top level executives by providing clerical support, arranging travel and correspondence, and diary management.
Role Responsibilities
Event Management. arrange conferences, workshops and special events for the team including venues, travel, entertainment etc.
Support Leadership Team in preparation and follow-up of LT meeting
Effective communication with external contacts at a senior level and organisations that involve the LT participation
All aspects of meetings held on site (e.g. booking of rooms, catering)
Prepare presentations as required
At beginning of every month, ensure Amex expenses are completed and sent to Accounts Department
Ensure all approvals completed within time frames for expenses on all relevant systems
Working knowledge of all Unilever's policies and procedures
Paying invoices for relevant suppliers
Raise purchase orders as requested by LT through Coupa and process invoices in Omniflow
Ad-hoc jobs for LT and assist other members of the department when the need arises
Organise domestic and international travel, accommodation and hire cars
Set up of new starters WL2's reporting to WL3's which includes all IT processes and arranging the laptop and phone
Accountabilities
Contributes to the effectiveness and efficiency of the work team by providing a high level of assistance and support in the diversified range of activities for the senior executives
Facilitates the effective operation of the work environment by: * relieving the senior executives of routine administrative tasks
- screening visitors
- maintaining records
- ensuring attendance of the senior executives at meetings on schedule with adequate preparation and information
Provides effective secretarial support by performing all general secretarial duties
Essential Experience
3+ years of secretarial experience, preferably cross-functional
Desirable
FMCG experience
