About the Role

In this position, you'll be responsible primarily for providing administrative support to the Construction Projects & Assets team across Brisbane and Perth offices.

You will perform all administrative functions required to support the teams and will need the ability to successfully balance assignments and various tasks from multiple stakeholders. You will be responsible for routine and non-routine tasks and will need independent judgment to plan, prioritise and organise workload. You may also interact with clients and other leaders and will need to maintain absolute discretion and confidentiality, as would be expected of a professional in this role.

Perth would be the preferred location for the role, but for the right candidate, we can also consider the Brisbane office.

What You'll Do

  • Primarily, administrative support to 2 Senior Managing Directors and assisting other team members with administrative requests
  • General administration, including travel bookings, taking minutes, coordinating meetings and calls and maintaining calendars
  • Initiate conflict clearance and approval processes for new matters
  • Manage new client and vendor set-up, contact lists and liaison with third-party service providers as required
  • Compose and edit correspondence, emails, reports and presentations
  • Answer phones, take messages and fulfil requests
  • Manage in-house, external and client events
  • Financial administration, including time and expense recording, credit card reconciliations, assisting with the collection of billing information, invoice creation and debt collection
  • Create documents, reports, spreadsheets, PowerPoint presentations and assist in research projects
  • Assist with ad hoc tasks (e.g. oversight of office stationary, general office support, office supplies and print materials, onboarding new team members)

Qualifications & Experience

  • Minimum 2 'years' experience in office administration and/or supporting senior executives desired
  • Proficient in Microsoft Office applications (Excel, Word, PowerPoint)
  • Excellent oral and written communication skills (maintain a courteous and professional manner)
  • Proactive and initiates projects and process improvements, accepting new assignments and challenges
  • Capacity to multi-task, prioritise workload and effectively manage time
  • Work effectively as part of a team and take charge of a team when needed, yet be able to work independently with minimal supervision
  • Perform all tasks with attention to detail and review for accuracy
  • Ability to maintain confidentiality
  • Knowledge of how to get things done at the firm and identified as a "go-to person"
