About the Role:The Executive Assistant to the Principal demonstrates exemplary organisation and administrative skills and provides high level strategic administrative support to the Principal and College Advisory Council. The successful candidate will demonstrate support for Catholic philosophy and values and promotes sound practices especially as they relate to the operations of the College.
Key ResponsibilitiesThe key responsibilities relative to this aspect of the role include, but are not limited to:
1. Prepare, manage and review the provision of high-level College communications and correspondence including parent communications, reports, submissions, student references and notes to ensure the comprehensiveness, accuracy, and timeliness of written information.
2. Provide executive support to the College Advisory Council, including preparing Board minutes, Board papers, and Board meeting agendas in consultation with the Advisory Council chair, Principal and other relevant College staff.
3. Provide professional and administrative support to the Principal, including diary, calendar and travel management.
4. Provide support for key College administrative and management functions, including confidential document management and human resource functions.
5. Develop and oversee the implementation and evaluation of administrative practices, systems and procedures to optimise efficiency and support the achievement of quality outcomes.
6. Assisting with the management and organisation of administrative support staff including staff absences, work performance, professional learning.
Essential Criteria:• Has an affinity with and appreciation for the charism of Blessed Edmund Rice and the EREA Charter Touchstones.
• Proven experience in administration or management supporting Executives, Boards/Committees and senior leaders to achieve organisational and operational objectives.
• Extensive knowledge of Microsoft Office, database systems and the Adobe suite with the ability to learn new software and an aptitude for learning new skills and increasing professional knowledge.
• Confidence in dealing with a range of people with an understanding of the importance in exercising confidentiality, discretion and initiative.
• Outstanding organisational, planning and time management skills with an ability to manage competing complex tasks simultaneously.
• Strong verbal and written communication skills, with the ability to draft professional correspondence and create impactful presentations.
• Strong problem-solving skills and the ability to think critically in a fast-paced environment.
• A methodical and concise approach to the job and a high level of attention to detail in order to complete various proofreading tasks and projects.
• Experience in overseeing and managing the work of staff in administrative roles.
• Demonstrates an excellent understanding of the importance of the effective administrative responsibilities of the role in supporting the education of young people.
• A courteous, engaging and efficient manner, with a customer service focus and a demonstrated ability to work collaboratively in a team and autonomously.
• The ability to deal with difficult situations or unexpected events and support those involved.
• A commitment to the ongoing and proactive protection and safeguarding of children and a NSW Working with Children Clearance number, or willingness to obtain.
