Executive Assistant/Corporate Services Specialist

Part Time 48 hours per Fortnight

We are seeking a highly skilled and adaptable individual to join our dynamic team. This multifaceted position requires a unique blend of high-level executive support, financial acumen, and hands-on administration of operational tasks. The successful candidate will play a pivotal role in ensuring the smooth functioning of our offices and supporting the CEO in various capacities.

Responsibilities:

Executive Assistance:

• Provide comprehensive administrative support to the CEO.

• Conduct research, prepare reports, and compile data to support decision-making processes.

• Assist in the preparation of presentations, documents, and other materials.

• Take minutes and follow up actions from Management Meetings.

• Lead corporate projects, coordinating cross-functional teams to ensure successful project delivery

Financial Support:

• Assist in financial management tasks, including budget monitoring, expense tracking, and financial reporting.

• Analyse financial data and prepare reports for executive review.

• Collaborate with the CEO to develop financial strategies aligned with organisational goals.

Operational Tasks:

• Oversee day-to-day operational corporate activities.

• Implement and optimise operational processes to enhance efficiency.

• Troubleshoot and address operational issues promptly.

• Manage and troubleshoot office technology, including hardware, software, and communication systems.

• Collaborate with IT teams to implement improvements and upgrades.

• Develop and update corporate policies related to office operations, whilst ensuring compliance.

• Identify and assess potential risks, together with risk mitigation strategies.

• Manage Insurance policies, renewals and claims

• Contract management - Negotiate, renew and coordinate service contracts for service delivery, financial and legal implications.

• Manage the Sharepoint site, with document control

• Support tender submissions with corporate and WHS documentation requirements

• Drive content for marketing campaigns and monitor agreed action plans

• Follow up on Strategic and Operational plans.

Qualifications:

• Proven experience as an Executive Assistant, Corporate Services Specialist, or similar role.

• Strong financial acumen with experience in budgeting, financial analysis, and reporting.

• Backend Sharepoint knowledge and experience would be highly regarded.

• Excellent project management skills with a track record of successful project delivery.

• Proficient in using financial software and advanced level of using office productivity tools such as Microsoft various products.

• Exceptional organisational and multitasking abilities and the ability to work under pressure.

• Strong communication and interpersonal skills.

• Ability to work independently and collaboratively with various teams across the organisation.

• Work Health and Safety knowledge and or experience would be considered beneficial, but not essential.

Schedule:

• The role is 24 hours per week.

• There is flexibility as to when the hours are worked.

• This role may be requested to support the Work Health Safety function.
