Experience & Skillset
- Experience as a strong Administrative Assistant – Not industry specific, however advanced in all aspects of Administration.
- Strong organisational skills with the ability to prioritise and be process driven.
- Tech Savy with advanced computer knowledge; including Microsoft Office 365 Suite, Google Suite, knowledge with Xero and web-based platforms inclusive of Zoom and Teams.
- Excellent verbal and written communication skills.
- Highly effective management of email correspondence and thoughtful coordination daily business essentials.
- Prompt with a dedicated work ethic and performs well under pressure.
- Mature mind that is inquisitive, quick learning and forward thinking.
- Professionalism to confidently liaise with clientele, team members, industry authorities and potential customers.
- A positive and supporting team player who takes pride in work and self by
- Pleasant, confident, and tactful telephone etiquette.
- Current driver’s license (though car is not essential - we are close to public transport and Gold Coast Light Rail).
Tasks & responsibilities
- Report directly to the Executive Assistant and assist with various daily operational requirements – flexibility and adaptability is a must.
- Support the Executive Assistant in planning and organising company events and meetings.
- Liaise with staff and process numerous requests for efficient workflow of projects.
- Manage and process high volume email enquiries, project requests and job orders.
- Manage daily correspondence whilst effectively supporting our Design Principal with flow of projects.
- Assist with schedules, appointments, and correspondence where applicable.
- Provide timely job updates to departments and clients when suggested.
- Utilize our CRM System Karbon for job management and data entry.
- Prepare fee proposals and process completed work orders through Xero Accounting Platform.
- Generate reports, registers, spreadsheets, and planning schedules where applicable.
- General various clerical duties.
- Prepare and issue letters/documentation as needed and requested.
- Preparation of departmental reports, memos and meeting minutes.
- Act as the first point of contact for customers and clients in a face to face and telephone manner. Delegating queries where applicable.
- Schedule client and industry liaison appointments where requested.
- Maintain upkeep of our Office to a professional, clean, and optimum standard..
