Daily Responsibilities
- Coordinating Field Service technicians daily activities
- Ensuring all set policies and procedures are applied and adhered to
- Ensure services are effective and customers requirements are met
- Assisting with Incoming Calls
- Make sales phonecalls to continue consistant work flow
- Addressing all Field Service Calls
- Opening and allocating all Field Service Jobs
- Posting all internal and external Field Service jobs
- Providing superior customer service, building and developing relationships with the regions customer base
- Identifying new business opportunities and reporting to management
- Achieving set financial and operational KPI’s
- Keep management team up to date with current market trends
- General ad hoc duties as required
- Accountable for all matters relating to HSE regarding Field Service
- Checking all field tech’s times entered correctly
- Update Field Service Diary consistantly
- Liase with customers regarding PO’s
- Addressing all Emails in the WA Service Inbox
- Planning the day to day schedule for 5x Metro Mechanics and 2x Pilbara Mechanics
- Invoicing Field Service Jobs correctly
- Assisting customers with Invoice queries
- Assist with Opening of Workshop Jobs
- Assist workshop with admin duties
- Assist with customer enquiries in regards to Workshop jobs
- Assist Lee as required
- Collect Paperwork from Field Service Mechanics and send to customers
- Arranging Mechanics for Breakdowns
Other Responsibilities
- Sending the Plant Due For Service Reminders (LAST WEEK OF THE MONTH)
- Compiling workshop job books (AS REQUIRED)
- Post company’s mail (EVERY 2ND FRIDAY)
- Arrange site access for field tech’s (AS REQUIRED)
- Print Operators Procedural Manuals for workshop (AS REQUIRED)
- Opening and processing Purchase Orders for the Field Service Mechanics (AS REQUIRED)
- Arranging transport for machines being returned to the workshop for repair (AS REQUIRED)
- Booking any Accommodation for Regional Service work (AS REQUIRED)
- Ensuring all Site Access and Licenses are up to date (AS REQUIRED)
- Preparing Quotes for Field Service Work (AS REQUIRED)
- Preparing PMP Quotes (AS REQUIRED)
- Assist admin with events (STAFF BBQ’S, XMAS, FUNDRAISERS) (AS REQUIRED)
- Ordering Parts for upcoming Field Service Work for mechanics (AS REQUIRED)
- Managing Leave for Field Service Technicians (AS REQUIRED)
- Managing the Vehicles for Field Service – Maintenance, repairs, services etc (AS REQUIRED)
- Processing Invoice Credits and Transfers (AS REQUIRED)
- Organizing and chairing Field Service Meetings (EVERY 2nd MONTH)
- Arrange transport of Machines from the field (work that cannot be carried out on site) (AS REQUIRED)
- Assisting with Warranty claims (AS REQUIRED)
- Completing Incident reports (AS REQUIRED)
- Ensure Parts Bins are emptied Regulary
