Job Description: We are seeking a dedicated and detail-oriented Administration and Accounts officer to join our team. The ideal candidate will play a crucial role in ensuring the efficient operation of our organization, with a focus on managing administrative tasks and maintaining accurate financial records.
Responsibilities:
- Manage day-to-day administrative duties
- Maintain accurate and up-to-date financial records using an inhouse accounting software, including accounts payable, accounts receivable, and payroll processing.
- Prepare and process invoices, purchase orders, and expense reports in a timely manner.
- Reconcile bank statements and prepare financial reports for management review.
- Assist in budget preparation and monitor expenses to ensure compliance with organizational policies and grant requirements.
- Respond to complex enquiries using judgement and initiative while demonstrating an understanding of, and applying
the client's policy and procedures. - Review, process and administer financial transactions within the operating system
- Undertake a range of financial functions including but not limited to, credit card and expense reimbursement and
reconciliation; purchase order preparations; entering, monitoring and reconciliation of accounts payable and receivables
and retentions - Month & year end reporting, reconciliations & payments,
- Assist with the preparation of project financial statements to support Management decision making
- Uphold confidentiality and discretion in handling sensitive information related to clients, donors, and organizational operations.
- Bachelor's degree in Accounting, Finance, Business Administration, or related field (preferred).
- Minimum of 2 years of experience in administration and accounts,
- Proficiency in using accounting software and Microsoft Office Suite.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent communication and interpersonal skills, with a customer service-oriented approach.
- Ability to work effectively both independently and as part of a collaborative team.
