Job description

We are seeking a highly organised and detail-oriented Administration Officer, primarily focused around asset management, to join our team.

You will be responsible for maintaining and managing all plant and equipment assets across the Region. This role requires meticulous attention to detail, excellent communication skills, and expertise in data entry.

Your primary focus will be on maintaining accurate records on the SAP finance system, conducting stocktakes, managing the asset life cycle, and assisting in budget preparation through report generation.

About the Role:

Join our team as an (Asset) Administration Officer, and contribute to the efficient management and maintenance of our plant and equipment assets across the Region. Your attention to detail, excellent communication skills, and data entry proficiency will be invaluable in ensuring accurate records, conducting stocktakes, managing asset life cycles, and assisting in budget preparation. Responsibilities include, but are not limited to:

  • Maintain accurate records: Ensure the accurate and up-to-date recording of all plant and equipment assets within the Region on the SAP finance system.
  • Asset management: Oversee the entire asset life cycle, including the acquisition and disposal process. Monitor asset performance, evaluate usage patterns, and recommend appropriate actions.
  • Stocktake management: Plan, coordinate, and conduct stocktakes to verify the physical inventory of assets and reconcile it with the recorded data.
  • Portable and attractive assets: Manage the tracking, maintenance, and security of portable and attractive assets, ensuring their availability and integrity.
  • Budget assistance: Generate reports and provide necessary data for budget preparation, supporting the budgeting process through accurate financial information and analysis.
  • Collaborative communication: Liaise with internal stakeholders, including finance, operations, and procurement teams, to gather information, resolve discrepancies, and ensure effective communication regarding asset administration matters.
  • Process improvement: Identify opportunities for process improvement within the asset administration function, propose and implement efficient practices to streamline operations and enhance data accuracy.

What you need to succeed:

  • Attention to detail: Demonstrated ability to maintain meticulous attention to detail while managing a large volume of data and complex asset records.
  • Excellent communication skills: Strong verbal and written communication skills to effectively interact with various stakeholders, including colleagues, management, and external vendors.
  • Data entry proficiency: Proficient in data entry techniques and experience working with databases or enterprise resource planning (ERP) systems, preferably SAP.
  • Organisational skills: Exceptional organisational skills to manage multiple tasks, prioritise responsibilities, and meet deadlines effectively.
  • Analytical mindset: Ability to analyse data, identify trends, and provide insights to support decision-making processes related to asset management.
  • Problem-solving skills: Proactive in identifying and resolving issues related to asset administration, using critical thinking and problem-solving abilities.
  • Team player: Collaborative attitude and ability to work well within a team environment, as well as independently when required.
