Melbourne Girls Grammar is seeking a motivated and highly organised HR Administrator to join the MGGS Human Resources Team on a fulltime basis. Reporting to the HR Manager, the successful candidate will support the effective operation of the HR function by undertaking administration tasks both daily and cyclical to support the team deliver responsive HR advice and solutions and exceptional employee experiences.
This role would suit an early career graduate, with around 2-3 years of experience in a relevant HR role. As part of the Principal’s Office, the HR Administrator will work within a professional, warm and supportive team. The position will assist the HR Manager and HR Officer with the management of:
- Human Resources administration tasks (emailing, filing and records maintenance)
- High volume data entry (database, word and excel processing)
- Fast-paced recruitment and onboarding
- Critical compliance projects
- Research and auditing
- Regular and ad hoc HR projects
- Managing HR email inboxes
This role combines high volume administration work with exposure to a complex and fast-paced Human Resources environment. We are seeking high performing candidates who can both maintain focus and attention to detail throughout repetitive work, and engage in and seek out opportunities to learn and build on their professional skills. Candidates who can demonstrate an understanding of the critical importance of compliance in the workplace will have an advantage.
The HR Administrator will not only be polished, friendly and warm in their demeanour but will show strong initiative and exercise a high level of confidentiality and discretion as a part their day-to-day tasks. They will be naturally collaborative and keen to support and streamline administration systems to be as efficient as possible.

Key Selection Criteria include:
- High level attention to detail and strong administration skills to complete tasks quicky and accurately.
- Strong digital literacy skills including Microsoft Office (Excel, Outlook, Word, Teams), HRIS database etc.
- Excellent organisational, analytical and problem-solving skills.
- Well-developed communication and inter-personal skills – face to face, email and in telephone contact – with customer service, cultural awareness, sensitivity and understanding which build and maintain effective and positive working relationships with immediate supervisors, colleagues and key stakeholders.
- Ability to work well under pressure, meet deadlines and work with minimal supervision on several simultaneous projects.
- Ability to disseminate important information/instructions in ways that make it easy to understand and follow.
- Demonstrated ability to work as a part of a team and provide consistently high-level service and initiative.
- Ability to discuss and resolve problems amicably with tact and diplomacy.
- Proven ability to maintain the confidentiality of sensitive information and adhere to high ethical standards.
