Position Overview:
As MLG Oz continues to experience ongoing growth, so is the people and performance department. We are now seeking a skilled Administrator to join our people and performance team in this Human Resources Administrator position.
It’s okay if you don’t come from the mining or haulage industries, but you must have an interest in wanting to be part of them. It’s also okay if you don’t have a background in HR, you will be much more successful if you have a genuine interest in pursuing a career in the HR arena.
Reporting to our Human Resource Group Manager, this position is:
- Perth based in the CBD.
- A permanent full-time position but will consider part-time hours.
- Monday to Friday, 40 hour week between the hours of 7.00am – 5:00pm with flexible working arrangements.
- Open to HR graduates or students near completion of their HR qualification.
Responsibilities will include but not limited to:
- Managing, monitoring and actioning the HR inbox.
- Prepare documentation reflecting lifecycle of employee activities such as site transfers, change of position, rate/salary changes, probationary periods, flexible working arrangements, milestone anniversaries, performance review/management, disciplinary action and any other changes in employment conditions.
- Assist the HR team in outgoing correspondence, tracking to ensure they are delivered to the relevant functions and returned to HR for appropriate execution and filing.
- Conduct follow up with appropriate parties regarding documentation/correspondence to be returned to HR in a timely manner.
- File HR/employment related documents and ensure all record keeping is organised in accordance with company naming conventions.
- Maintain the update of organisational, business functional area and site personnel (structure) charts.
- Provide administrative support to the recruitment and mobilisation functions during peak periods, i.e. initial application screening, data collation, reference checking, onboarding documentation, etc..
- Prepare employment contracts for offers of employment outside of normal recruitment/mobilisation process.
- Updating HR related information in all areas of electronic record keeping system locations, ie. Intranet, SharePoint, MicroKeeper, ELMO, etc.
- Assist the HR team in administering the development and execution of HR related marketing, eg. Social media, internal communications, collateral materials, etc..
- Assist the HR team in the administrative coordination of projects and extracurricular activities, eg. industry events, skills/job expos, professional networking activities, etc..
- Compile HR tracking, exit interview and life cycle of employee reports.
- Assist in the preparation of HR guidelines, policies and procedures.
- Coordinate site visit requirements.
To be considered for this role you will need have the following:
- The ability to pass a Pre-employment medical, incl. Drug & Alcohol screen.
- Minimum of 2+ years’ experience in busy administrative support function.
- Experience in or knowledge of Human Resources, recruitment or mobilisation administration advantageous.
- Experience with MS Office suite, Visio and other organisational software programs/tools.
- Human Resource (HR), Applicant Tracking Systems and other software tools advantageous.
- Familiarity with Human Resources Information Systems (HRIS) advantageous.
- Current & Valid Driver's licence.
