Junior administration assistant required for office of busy local construction company
Your new company
Hays has partnered with a locally owned and operated construction firm seeking their newest recruit. We are looking for an enthusiastic Junior Administrator with around one year of experience in a similar role. This role would be suitable for a recent business administration traineeship graduate or school-leaver with some office-based experience.
Your new role
- Undertake general administrative duties, including but not limited to answering telephones, taking messages, addressing email enquiries, answering queries, sorting invoices and purchase orders and preparing for payment approval.
- Provide first point of contact for visitors, ensuring that they receive excellent customer service at all times.
- Provide administrative support for staff and managers, including tasks such as filing, typing, copying, scanning and printing.
- Assist with accounts payable and receivable processes
- Assist with the payroll functions as required, including collating documentation, timesheets etc. and inputting data
- Undertake data entry duties, including accounts into Xero, and maintaining and accurately updating information on spreadsheets and databases.
- Assist Office/Finance Manager with monthly reporting.
- Monitor and order stationery supplies and other office consumables.
- Manage all aspects of incoming and outgoing mail.
- Manage digital and hard copy filing and archiving
- Ensure that the office and kitchen areas remain neat and tidy
- Ensure all procedures are implemented in full and report any discrepancies to the Office & Finance Manager.
- Undertake other duties as directed.
What you'll need to succeed
- Ability to provide excellent customer service, with an excellent telephone manner, with good verbal and written communication skills
- Good computer literacy skills, including knowledge and experience with Microsoft Office programs and accounting and payroll software
- Previous experience working in an administrative or office environment
- Ability and willingness to follow instructions and procedures
- Demonstrated attention to detail and good multitasking skills
- Willingness to work effectively as a part of a busy team, be well presented and demonstrate enthusiasm for the job, even under pressure
- Ability to prioritise work tasks, meet deadlines, seek guidance when required, but work with minimal supervision
- Punctuality, reliability and willingness to be flexible
- Demonstrated ability to maintain accurate and confidential records
- Current Driver's Licence and own vehicle.
