The right individual
You will have some existing knowledge of how a general practice runs with specific medical or dental reception experience. Previous experience in a busy reception role would be advantageous. You must be able to learn new skills quickly and be willing to be trained in all facets of Medical Reception. You will be articulate, have an aptitude for accuracy and be able to multitask whilst working under pressure. You must be able to finish tasks promptly and ensure follow-ups are completed in a timely manner. Importantly, you must work well within a cohesive team, working with different team members on different days. You will provide support not only for the reception team but specifically to the Reception Co-Ordinator as directed. You must be able to think on your feet, be adaptable and approachable in a busy environment. As the face of the clinic, a pleasant and friendly nature is paramount to ensuring our patients feel welcomed and cared for, being treated with respect and dignity at all times. You must be willing to go above and beyond so that the team runs smoothly and practitioners are strongly supported. You must be self motivated and complete tasks without direction. Equally as important, we are looking for a sincere individual who has a desire to help others and make a difference.
The successful applicant must be able to start at 8.30am and ideally be available at short notice. We do not open weekends. We are looking for someone who can work regular rostered weekly shifts, at least a minimum of 2 full days per week with the availability for more.
MAIN DUTIES/RESPONSIBILITIES:
- Comply will all company health and safety polices and procedures including wearing Personal Protective Equipment of varying levels as directed by management.
- Comply with all Government directives relating to health and safety.
- Coordinate and carry out all office administration duties including reception, mail, couriers, filing, supplies and general tidiness of the clinic.
- Maintaining kitchen supplies and staff amenities as needed and directed.
- Liaising with patients in a polite and courteous manner.
- Report directly to the Reception Co-Ordinator and other management as directed
- Answer reception phones in a happy, prompt, courteous and pleasant manner whilst always adhering to privacy guidelines.
- Follow all COVID policies and safety directions including cleaning, sanitizing and disinfecting.
- Provide an exceptional level of service and first point of contact for all patients and suppliers face to face and over the phone.
- Ensure the reception area and waiting area are clean, neat and tidy at all times.
- Accurately complete all patient bookings on the medical software system in line with practitioner guidelines.
- Process daily billings accurately (if directed)
- Provide administrative support to all practitioners, the practice manager and allied health services.
- Work autonomously as well as part of a cohesive team
- Maintain patient privacy and confidentiality.
- Maintain confidentiality of all company operational, personnel and financial details.
- Abide by all company policies and procedures.
- Cover leave of other receptionists when and if required.
- Other tasks as directed; including, but not limited to: maintaining stock for administration areas and practitioner rooms as well as ordering stock of cleaning and general office supplies. Purchasing office supplies and ad hoc items as requested by the principal doctor and practice manager.
SKILLS:
- Medical reception experience essential
- Best Practice medical software knowledge desirable.
- Able to learn new skills quickly and undertake full training in all facets of Medical Reception
- Intermediate Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
- Excellent verbal and written communication skills
- Able to complete tasks without direction or supervision, working autonomously and as part of a cohesive team
- Able to confidently work under pressure, meeting all deadlines, handling numerous tasks at once whilst appropriately prioritizing work.
- Have a happy, pleasant and calm disposition
- Able to show compassion and understanding to patients whilst maintaining confidentiality
- Able to take directions from all doctors and management.
