Your new role
Under direction of the Practice Coordinator and Practice Manager, the successful candidate will be responsible for managing daily operations systems including compliance, financial management and general administration and reception in line with practice policies and procedures.
Responsibilities:
Ensure high standards of customer service and professional healthcare practice are achieved. Manage patient queries and first point of call for customer service.
Obtain appropriate details from new patients and advise them of the billing policies of the Practice.
Answer the phone promptly and courteously.
Centre housekeeping including cleaning and Practice presentation. Operate administration structures, policies and procedures with a particular focus on providing high level support for all medical and non-medical practice staff including managing patient enquiries, appointments, patient flow and account payments.
Assist in achieving annual operational goals of the Practice in conjunction with the Practice Coordinator and Practice Manager including preparing regular systems reports on business performance.
Operate general business systems with a focus on IT systems. Provide support to the Practice Manager to develop, implement, review and improve practice systems that promote an environment of continuous quality improvement.
Efficient and accurate data management to ensure effective financial systems, including the maintenance and control of debtors and creditors, cash flow, and compliance with all taxation, record keeping and other statutory requirements.
Adhere to Practice specific policies and procedures. Generate systems reports for business performance and analysis.
Participate in team staff meetings and business review processes.
Conduct work in a manner which is compliant to all relevant industry regulations.
Sterilise medical instruments (only after completion of in-house sterilising training).
What you'll need to succeed
Excellent computer literacy with specific focus in the medical industry and the ability to touch-type with efficiency and accuracy. Knowledge of Commonwealth and State health systems, policy and funding arrangements.
A sound understanding of the general practice sector and its relationship to the broader health sector and local community.
Demonstrated patient-focused approach to service provision including a commitment to the maintenance of absolute confidentiality regarding client and practice information.
Outstanding interpersonal and communication skills including written, verbal and negotiation skills, and ability to work as a member of a high-functioning team.
A commitment to a continuing quality improvement approach to all organisational activity and an ability to develop the Practice standards to achieve and maintain accreditation.
