Prahran Square Family Clinic opened in August 2021 on the edge of the multi-million dollar Prahran Square development in the heart of Prahran. We are looking for a charismatic and friendly receptionist with a can-do attitude and genuine concern for patients to join our tight knit, supportive team.
We are have also recently purchased two additional clinics at 63 Power Street, Southbank and Shop 6, 740 Toorak Road, Hawthorn East and will be seeking receptionists to work at those location as well (possibly rotating between the three clinics).
Position Overview
- Prahran Square Family Clinic has an excellent relationship with our customers and the admin team is an essential component of that experience.
- Our ideal candidate will be the face of the clinic showing a high level of professionalism and empathy for our patients.
- Provide administrative support to management, medical and nursing employees.
- Undertake all duties in a diligent manner with honesty and integrity
Core tasks & responsibilities
- Meeting and greeting patients
- Scheduling appointments and managing the appointment diary.
- Answering telephone queries for bookings, patient results and general patient queries.
- Processing payments (EFTPOS, HICAPS, Medicare, Work Cover/TAC) and follow-up of unpaid accounts.
- Liaise with patients, medical practitioners and healthcare bodies to organize follow-up and specialist appointments
- Managing incoming and outgoing referrals and correspondence
- Maintain client database and demographic details (excellent attention to detail a must)
- Ensure reception and waiting room is presentable and tidy, maintaining infection prevention & control protocols.
- Follow set clinic procedures when dealing with emergencies
- Adhere to patient privacy and confidentiality legislation
Qualifications and Experience
- Previous customer service experience in a GP practice, hospitality, retail or similar highly regarded.
- Professional presentation, well developed communication skills, strong attention to detail and a passion for patient care are the keys to success in this role.
- High level computer literacy including Microsoft Office applications (Word, Excel, and Outlook), experience with Best Practice patient-management software preferred.
- Excellent time management skills including the ability to manage numerous tasks concurrently
- The ability to work independently, show initiative and work productively within a team environment
