Reporting to and working alongside the Practice Manager, you will be responsible for the providing day to day reception support to our clients, providers and referrers in a way which consistently exemplifies 4thought’s core values and ethos.
Key responsibilities:
- Manage incoming client enquiries, calls, and emails
- Facilitate appointment bookings and engagement of new clients
- Invoicing, payments and reconciliation of client accounts
- Optimisation of provider consulting schedules and calendars
- Proofing, editing and distributing outgoing correspondence
- Contribute to improvements in practice processes, policies and procedures
- Coordination and administration for Centre 4 Life studio hires
- Maintaining practice presentation and housekeeping
- Assisting with other duties as required to support practice operations
- For the right interested candidate, there is capacity for professional development with a view to expand this role to incorporate social media marketing and event management.

- Essential experience, in a similar role, in a health care setting
- A genuine love of working in the service industry, demonstrating excellent interpersonal skills
- An intuitive, professional, solution driven approach to customer service delivery
- Exceptional organisational skills with a mindful attention to detail
- A clear, confident communication style, both written and verbal, displaying strong spelling, grammar and an excellent phone manner
- Resilience, lateral thinking, and the ability to problem solve when faced with challenges
- A strong work ethic, demonstrating adaptability, flexibility, professional respect and commitment
- A willingness to grow, learn and develop in the role
- Intermediate skills in Microsoft Office (Word, Excel, Outlook)
- Familiarity with PowerDiary, or a similar practice management software, is highly desired
This is a permanent position with estimated hours of 25-35 per week. Practice hours span 8am-8pm weekdays, with alternating Saturday mornings. The successful applicant will have some capacity to work closing shifts, and be flexible and adaptable in helping to support leave cover if required.
