We are seeking efficient, enthusiastic and motivated people, who can work well within a tight-knit and friendly team. Our business is growing, so we would love to hear from you if you like to be kept busy, can think on your feet and would like to work in a happy, vibrant work place. This position is Part-time approx 25 hours per week. The hours would ideally would suit a student who doesn't have many contact hours at University or a parent with school age children.
We are a specialist dermatology clinic in South Melbourne and we aim to provide the highest level of care in our modern and 8 purpose built consulting/laser/cosmetic and surgical rooms for medical dermatology and cosmetic treatments. We are a team of dermatologists, practice nurses and cosmetic nurses/dermal clinician.
If you have any experience in medical reception work, medical customer service and/or medical administration, that would be wonderful. However, the most important thing to us is a willing, “can do”, proactive attitude! If you don't have any experience, we will be happy to train you, we just need a willing participant. The position is to work along side our other front desk reception staff/Office Manager and doctors/nurses and to be a role model for other employees in providing high level customer service, whilst maintaining key tasks relating to administration/reception work and the general day to day running of the clinic.
The role would include the following but would not be limited to :
- Managing the order of the appointment book and ensure that appointments are correct, with correct practitioner and time allowed
- Ensure confirmation of appointments are done in a timely manner and followed up
- Taking incoming phone calls and making external calls as required
- Ensure appointments are being billed correctly
- Billing and Batching of Medicare claims on a daily basis
- Rescheduling/cancelling appointments when required
- Following up / recalls of missed appointments
- Helping out with cleaning and general tidy up twice a day, after morning session and at end of day
- Banking / Settlement at end of day
- Overseeing all incoming and outgoing correspondence including electronic mail and patient results
- Ordering administration supplies on line
- Ordering general supplies with coles on line
- Sending out of invoices and following up on debtors
- Going through surgery billings / procedures with patients as required ensuring they have a sound understanding of their procedures and the cost of such
- Able to trouble shoot IT / Software issues to the best of your ability, so having wide extensive training / knowledge in all areas of Microsoft Word, Excel and thorough knowledge of the Genie software would be advantageous
- Medical typing/transcription as needs arise
