We are a team of Specialist Oral & Maxillofacial Surgeons consulting and operating out of Perth and Darwin.
We seek an experienced and highly motivated Medical Secretary to join our team at West Perth. As our practice is growing progressively and strongly, we are looking for an individual who would love to be a part of our practice journey, and be able to contribute and strengthen our team with your high standard of performance.
- Genie software – 4 surgeons and specialists – multi-site
- Hours: 7:30 am- 5:30 pm (full-time equivalent over 4 days) or 5 days – work/life balance. No weekend.
- Private parking is provided.

The duties and responsibilities of this role include:
- Provide excellent patient care and focus.
- Provide effective and efficient support to doctors and help them manage schedules, tasks, and queries.
- Manage patient booking/ quoting for consultations, surgeries/ procedures.
- Liaise with anesthetists, assisting doctors, medical representatives, nurses and hospitals to ensure theatre lists are well managed and coordinated.
- Strong communication skills to ensure patients are well informed of Surgery information and that the hospitals receive Theatre lists promptly.
- Theatre bags are well prepared and delivered to hospitals accordingly.
- Prepare and ensure the smooth running of the clinic.
- Explain billing policies, quote and collect surgical fees.
- Keep track of each stage of complex surgery cases by entering details on tracking sheets.
- Maintenance of patient records.
- Stock management. Liaise with suppliers to ensure adequate stock level.
- Sterilising equipment when needed. (training will be provided)
- Assist the reception staff/ practice manager when needed.
Requirements:
- A minimum of 12 month's experience as a Medical Secretary in a medical practice.
- Knowledge of Genie is preferred but not essential.
- 'Can do' attitude who is highly organised and prides themselves on their attention to detail.

- Punctual and robust work ethic.
- The ability to be flexible, work and liaise effectively with other team members.
