Position Overview:
We are seeking a proactive and detail-oriented Office Administrator and Customer Care specialist to oversee and manage the day-to-day operations of our office. This role is essential in ensuring a well-organised and productive work environment. The ideal candidate will assist with HR tasks, manage office supplies and equipment, coordinate with external IT services, support the recruitment process, handle sensitive information, and provide exceptional Customer Care.
Key Responsibilities:
- Oversee and manage the day-to-day running of the office, ensuring a well-organized and productive work environment.
- Assist HR with the setup of new employees and the exit process of terminating employees.
- Responsible for ordering all staff equipment and supplies.
- Liaise with external IT services to set up staff and assist with office needs.
- Assist in the recruitment process for the Operations Team.
- Handle confidential and sensitive information with discretion and professionalism.
- Manage event planning for team rewards and milestone events.
- Provide additional administration support to the management team.
- Provide systems support to staff and assist with troubleshooting systems and processes.
- Manage the front-of-house and Customer service teams.
- Assist in covering reception and answering phones when required to support the team.
- Perform client care calls to our vendors, purchasers, owners, and renters, ensuring high levels of customer satisfaction.
Qualifications:
- Agent's Representative Certificate
- Proven experience as an Office Administrator or in a similar role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency with office management software (e.g., Microsoft Office Suite) and familiarity with CRM systems.
- Ability to handle confidential information with discretion.
- Event planning experience is a plus.
- Strong customer service skills and a professional demeanor.
