Office Administrator 

We are seeking an Office Administrator to join our team based in Warrnambool. Matthews Petroleum has been operating throughout western Victoria for the past 50 years, and more recently south east of South Australia.

This is a fast paced, permanent role which will require high level administration and time management skills. Our ideal candidate will be able to work well with our Office Manager and Operations Manager in the admin team as well as working independently. It is a part time position for 25-30 hours per week. Hours worked are flexible, an example could be 9am - 3pm. 

Duties include but are not limited to:

  • Accounts Payable, including (but not limited to) entering, scanning and matching high volume supplier invoices with purchase orders
  • Answering phones and front counter customer service
  • Maintain Accounts Payable supplier details
  • Follow up with suppliers and internal departments / branches
  • Support receptionist during busy periods and absences
  • Petty Cash reconciliation
  • Data Analysis and Reporting
  • Daily Fuel Pricing
  • Retail sales
  • Site oncharges
  • General Adhoc Administration Tasks and Leave / Overflow Coverage
  • You will trained as an allrounder in order to back up other staff when they are away

To be successful in this role you will:

  • Be competent in the use of the Microsoft Office Suite - in particular Excel
  • Have the ability to multi-task and prioritise various tasks and deadlines. 
  • Possess excellent time management skills and a can do attitude 
  • Have advanced problem solving skills to ensure issues are resolved 
  • Proven high attention to detail
