Human Habitats is a multi-disciplinary practice providing exceptional services across Town Planning, Urban Design, Landscape Architecture with offices in Melbourne, Wangaratta and Brisbane. We are looking for an Office Administrator to support our team with Accounts and Personnel tasks.
The Role:
Based full time in the office, initially reporting into the Office Manager and supporting a team of 35 including 5 Directors. Key Responsibilities:
- Handle all activities related to accounts payable and receivable, ensuring accuracy and timeliness in processing.
- Prepare and send customer statements regularly.
- Verify supplier statements and match them to invoices accurately.
- Undertake debt collection activities, ensuring all outstanding payments are followed up.
- Perform bank reconciliations to maintain accurate financial records.
- Maintain complete confidentiality concerning all company finances and sensitive information.
- Assist with management of recruitment: Assist preparation of employee contracts
- Organise calendar and content along with Office Manager in regards to staff surveys;
- Organise annual reviews and quarterly catchups;
- Provide input to monthly Wrap presentation;
- Assist Office Manager with onboarding of new staff; and
- Induct new staff on internal processes such as Invoice and Fee proposal process, Trello, WFM etc
Experience, skills, and other requirements:
- Proven experience in an accounts payable & receivable role.
- A competitive remuneration package will be offered depending on qualifications and experience.
- Strong understanding of financial processes and accounting principles.
- High level of integrity and confidentiality in handling company finances.
- Proficiency in accounting software and MS Office, particularly Excel.
- Strong organisational skills with an attention to detail.
- Ability to work independently and as part of a team.
