The Company is headquartered in Melbourne, Australia and has support offices in the UK, Cyprus, Bulgaria, Guatemala, Philippines and Bahamas.

The HR and Office Coordinator at Eightcap plays a crucial dual role in assisting with human resources and office operations. Supporting recruitment, onboarding, and other employee matters while simultaneously handling administrative tasks such as food and stationary orders, organising events, and maintaining vendor relationships.

Main Responsibilities: 

  • Maintain the Melbourne office, i.e. coordinate internal communications relating to office management, ordering of office supplies, rostering, ensure cleanliness, etc.
  • Work closely with the People & Culture team to assist with people related matters.
  • Act as the primary point of contact for employees on office related queries.
  • Manage supplier relationships.
  • Assist in organising boardroom meetings and company events (e.g., town halls, EOFY and Christmas parties, lunch and learns).
  • Manage incoming and outgoing mail.
  • Monitor office stationery supply levels and reorder when appropriate.
  • Manage office seating plans.
  • Provide support to the Leadership Team, i.e. Executive staff travel arrangements and other administrative support as requested.
  • Manage kitchen supply orders and duty rosters.
  • Other ad hoc activities as required.
  • Manage new starter’s first-day welcome and office orientation.
  • Coordinate the exit process, including exit interview/survey process.
  • Assist with recruitment administration, i.e. reference checks, maintain compliance
  • Update and manage internal HR related databases.
  • Respond promptly and professionally to requests, feedback, and queries, whether through Slack, email, phone, or face-to-face interactions.

Who are you?

  • Previous experience as an office assistant or coordinator or in a similar role
  • Previous experience as a P&C administrator
  • Right to work permanently in Australia
  • Fluent in English
  • Excellent organisational and time-management skills
  • High attention to detail and accuracy
  • Values and respects diversity
  • Ability to work with individuals from multicultural backgrounds
  • Proficiency in problem-solving and decision-making
  • Experience working with HR systems
  • Ability to work under pressure
  • Certification/education in Human Resources/Industrial relations or related field (Desired)
