About The Role
Reporting to the Director Queensland, the role will provide broad exposure to executive support, office management and administration tasks. It involves confidential, high-level information as well as engagement with government, industry and community. While responsible for the smoother operation of the Brisbane office, the position also provides administrative support and compliance across the organisation, as part of the Corporate function.
Responsibilities for this role include, but are not limited to:
Executive support
- Diary management, general administration (document management, expenses) and travel
- Assist with the organisation of Board meetings, workshops, and members’ meetings when in Brisbane, in support of the Brisbane-based events manager
Office management
- Manage office supplies
- Liaison with external suppliers and coordinate visits as required
- Order/set up IT equipment as required
- Australian Energy Producers liaison for building management
- Document management within office SharePoint site
Administrative tasks
- Distribution of documents, including mail and couriers
- Maintenance of a clean and tidy workplace
- Organisation of special team events
- Data entry and support
- Ensure that all work is carried out in accordance with Australian Energy Producers' employee policies and standards
About You
To succeed in this role, you will have:
- Demonstrated experience in an Office Manager or senior administrative role
- Ability to work autonomously with a high level of organisation and manage relationships remotely
- Stakeholder management skills – for both internal and external stakeholders
- Highly developed written and oral communication skills
- Strong attention to detail
- High-level organisation skills including well-developed priority-setting skills and the ability to meet deadlines
- Ability to work under pressure and multi-task
- Sound knowledge of Microsoft Office suite of products
