About the RoleIn this dynamic fast-paced role, we are seeking a diligent and detail-oriented Personal Assistant to provide essential support to our Chief Operating Officer. As a key member of the team, you will be responsible for managing the COO's projects and tasks, managing schedules, coordinating meetings, assisting with seamless communication both internally and externally, along with a diverse range of project related tasks.
The hours for this role are Monday to Friday, 8:00am to 4:30pm. With this type of role, there is the expectation that you be available, within reason, outside of these hours to support the Chief Operating Officer to attend to tasks or provide support during travel or busy periods.

Key Responsibilities:Supporting the Chief Operating Officer in a one-on-one role your duties will include but are not limited to:
- Calendar management and negotiating a complex ever changing schedule
- Manage information flow, pre-empting the COO's needs
- Respond to emails and requests on behalf of the COO
- Interact daily with staff, management, clients, partners, vendors and visitors
- Arrange travel plans, including flights, accommodation, and transportation
- Attend meetings, take minutes, and distribute them accordingly
- Track and follow up on action items arising from meetings
- Assist with writing policies and processes for continuous improvement throughout the company
- Manage operational tasks as part of the Head Office Operations team
- Coordinate logistics and preparations for meetings, including agenda's, rooms, AV, catering etc.
- Organise office and team events to support a fun and positive culture within the company
- Maintain and organise files, records, and documents
- Draft and edit documents, presentations, and reports
- Create templates using Microsoft Word, Excel or Cloud Based systems
- Handle various administrative tasks in the customary duties of a Personal Assistant
- Strong communication and interpersonal skills, essential for building positive working relationships
- Is well presented and consistently maintaining professional demeanour.

- Handles sensitive information with discretion and confidentiality, ensuring trust and professionalism
- Demonstrates high attention to detail in all work and communication, including report writing
