Hobsons Bay City Council is seeking a diligent and experienced Property Officer to join our Property and Insurance team. This pivotal role involves the comprehensive management of Council's property portfolio, ensuring optimal performance and compliance with all regulatory requirements. Knowledge and experience in property within a Local Government context is needed and you will have the ability to effectively use Council software programs particularly the use of GIS and finance systems and the application of Property and Land Victoria systems including E-Titles.
The position is responsible for the provision of high-quality support to the Property Unit and Coordinator of Property and Insurance to manage Council’s property portfolio to ensure relevant agreements are in place by applying a collaborative and efficient approach.
What you’ll be working on
- Administer all property leases, licenses, and agreements, ensuring efficient processing of renewals and amendments, and development of new property agreements.
- Oversee rent collections, manage debtors, and ensure accurate data recording within Council's corporate systems.
- Continuously update and analyze property data for strategic planning, maintaining awareness of property management trends and legislative changes.
- Support Council’s Asset Management Unit by ensuring the availability and accuracy of property data.
- Act as a primary liaison for property-related inquiries from residents, internal stakeholders, and external parties such as DEECA, valuers, and surveyors.
- Provide essential guidance on property agreements and manage relationships to ensure collaborative and successful outcomes.
What you need to succeed
- Demonstrated experience in property administration, ideally within a local government setting, with a proven track record in managing property leases, licenses, and agreements.
- Familiarity with conducting rent reviews, obtaining valuations, and drafting property-related documents.
- Proficiency in Property Systems, Land Victoria systems including E-Titles, and GIS systems. Strong analytical skills and a keen ability to develop and implement property policies and procedures.
- Exceptional written and verbal communication skills, with the ability to work independently as well as part of a team.
- Demonstrated experience in stakeholder engagement and consultation to ensure compliance with Council policies and legislative requirements.
