Job Description:
We are seeking a skilled and professional individual to join our Real Estate team as an Administrator and Receptionist. In this multifaceted role, you will be responsible for providing exceptional administrative support and handling front desk duties in a fast-paced Real Estate environment.
Responsibilities:
Administrative Support:
- Assist Real Estate agents with day-to-day administrative tasks.
- Prepare and process Real Estate documents, including contracts, and agreements, and arrange water connections and leases.
- Maintain accurate and organized filing systems for easy retrieval of documents.
- Schedule appointments, meetings, and property showings for clients and agents.
- Coordinate property listings, ensuring accurate information is displayed online and in marketing materials.
- Assist in the preparation of presentations, reports, and property listings.
Reception Duties:
- Greet clients and visitors professionally and courteously.
- Answer incoming calls, route them to the appropriate parties, and take messages when necessary.
- Provide information about available properties, prices, and property features to potential buyers or renters.
- Respond to general inquiries and direct specific inquiries to the appropriate staff members.
- Manage incoming and outgoing mail, including courier services.
- Maintain a clean and organized office.
Client and Vendor Relations:
- Build positive relationships with clients, vendors, and partners.
- Follow up with clients and potential leads to provide outstanding customer service.
- Coordinate property inspections and appointments with clients, agents, and vendors.
- Assist in coordinating and managing open house events and property viewings.
Office Support:
- Maintain inventory of office supplies and equipment, and place orders as needed.
- Collaborate with other administrative staff to ensure smooth office operations.
- Support other team members with ad-hoc tasks and projects as required.
Requirements:
- Previous experience in an administrative or receptionist role, preferably in the Real Estate industry.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy in handling documents and data.
- Proficient computer skills, including MS Office Suite and Real Estate software.
- Exceptional verbal and written communication skills.
- Professional and friendly demeanor with excellent customer service skills.
- Ability to handle multiple phone lines and manage front desk responsibilities efficiently.
- Knowledge of Real Estate terminology and processes is an advantage.
