Waratah Strata is a leading company in the strata management industry, dedicated to providing exceptional service to our clients. We are currently seeking a proactive and organised individual to join our team as a Receptionist/Administrative Assistant.
As the Receptionist/Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our front office area. Your responsibilities will include welcoming visitors, managing phone communications, and providing general administrative support to our team.
Principal Duties:
- Greet clients, visitors, and contractors/tradespersons in a friendly and professional manner.
- Answer and redirect phone calls as necessary.
- Handle incoming and outgoing mail and arrange couriers as needed.
- Manage access device requests.
- Maintain office supplies and stock inventory.
- Coordinate Strata Searches and assist with documentation execution.
- Support strata managers with insurance valuations and By-laws endorsement.
- Ensure the cleanliness and tidiness of the reception area and meeting rooms.
- Maintain organized records and assist with filing and archiving.
- Assist with ad hoc administrative tasks as required.
- Perform other duties assigned by the General Manager and Head of Strata & Community Administration.
- Embrace continuous learning and improvement processes.
- Adhere to Company Policies, Procedures, and Workplace Health and Safety (WHS) guidelines.
Key Skills & Experience:
- Ideally, previous experience in strata administration or assistant roles.
- Reception/front office experience is preferred.
- Intermediate proficiency in Microsoft Office suite.
- Familiarity with Strata Master, filesmart, or similar systems is advantageous.
- Strong communication skills, both verbal and written.
- Ability to collaborate effectively within a team and work independently.
- Excellent organizational and prioritization abilities.
- Attention to detail and accuracy in tasks.
- Capacity to thrive in a fast-paced environment and manage multiple tasks simultaneously.
- Professional demeanor and presentation.
