Sydney Grammar School is an independent non-denominational day School for boys. The secondary School (7-12) is located on College Street in the city of Sydney and the two preparatory Schools are located at Edgecliff (K-Year 6) and St Ives (Preschool-Year 6).
Sydney Grammar is currently seeking to employ a suitably experienced and motivated Receptionist/Administration Assistant to our St Ives campus. We offer many benefits to our staff including paying substantially above other Independent Schools.
About the Role
The Receptionist has a key role in being the first point of contact for the School Office and providing support to teachers, boys, parents, and the administration of the School. The Receptionist is required to provide a range of administrative services, which contributes to the effective operation of the School. The Receptionist must see themselves as being in cooperative partnership with parents and the School Community.
This role is a full-time, term-time only position. The Receptionist will be required to work an extra week before the beginning of term I and an extra week following the end of term IV.
Commencement Date: 29 April 2024 (Beginning of Term II)

Knowledge, Skills and Experience
- Relevant previous Reception experience.
- Demonstrated proficiency with Microsoft Office products and general office equipment.
- Excellent organisational and time management skills.
- Ability to prioritise and manage multiple and competing work tasks and deliver to agreed deadlines.
- Ability to work independently, with limited supervision.
- Strong customer service skills, particularly the ability to work with young people and their families.
- Outstanding collaborative skills, with the demonstrated ability to contribute significantly and productively in working effectively as part of a team.
- Outstanding written and verbal communication skills, including demonstrated proficiency with English language skills including grammar, spelling and punctuation.
- Excellent management of documents, including electronic and hard copy files.
- Knowledge of, and experience in, the education sector.
Duties and Responsibilities
- Answering the telephone and monitoring emails to and from the School’s main email address
- Directing and screening calls
- Handling enquiries
- Liaising with boys, parents, visitors and staff of the School
- Distribution of telephone messages and emails throughout the School
- Receive, sort and distribute daily mail
- Booking couriers and buses for excursions
- Maintaining records of visitors to the School
- Assisting boys with lateness, absence, and short leave. Record electronically boys’ absence from School.
- Accurate and efficient data entry (including updates to the School database)
- General assistance with Evacuations/Lockdowns and record-keeping
- Meet and greet visitors and provide exceptional customer service
- Ensure all incoming phone calls and emails are attended to in a prompt and courteous manner
- Liaise with bus companies both public and private who service the School.
- Maintain stationery supplies and petty cash purchases for boys
- Assist teaching staff with the administration when required
- Assist with setting up the bookings for Parent Teacher interviews
- Send out correspondence to parents via Newscentre – the School’s electronic communication platform
- Compile the weekly Newsletter and distribute it electronically.
