* Be highly active and dynamic in co-ordinating all Sales Administration activities, following up
customer enquiries, quotes, leads and creating opportunities
* To maintain the momentum of delivery, administrators communicate with manufacturing and
logistics departments to agree on delivery dates
* Drive internal Sales Administration process, inventory management
* Assisting in developing processes around software system
* Ensuring accuracy of data entry for all sales related activity
* Maintaining Customer Contact List
* Co-ordinating sufficient stock of brochures, catalogues, marketing material (hardcopy and
electronic)
* Co-ordinating customer mailouts
* Assistance in organising exhibitions, field days and demonstrations
* Pass on customer enquiries to Sales & Service Team
* Assisting sales team in replying to customers
* Maintaining and ensuring accuracy of price book
* Generation and distribution of customer quotations
* Receiving and entering sales orders
* Processing orders by telephone, email or mail.
* Generating purchase orders
* Check order confirmations
* Check and enter supplier invoices
* Arrange for credit notes of supplier Invoices
* Maintaining supplier account balance sheets
* Receipt of goods into inventory system
* Assisting inventory stocktake
* Prepare sales and shipping documentation for outgoing goods
* Preparing and distributing customer Invoicing
* Accounts receivable
* Processing customer credit card payments
* Ensure all relevant documentation is saved into Sales Folder Server
* Assisting sales manager with monthly reporting
LOGISTICS
* Co-ordinate import/export shipments, customs clearance
* Organising and co-ordinating for all domestics deliveries
* Keeping customers updated on delivery status
* Managing Logistics bills, co-ordinating warranty cost claims
GENERAL ADMINISTRATION
* Create and distributing meeting agenda's
* Compiling and distributing meeting minutes
* Filing incoming correspondence (hard copy & soft copy), general administration tasks,
* Preparation of meeting and board rooms, organising catering
* Communication with customers, suppliers and internal staff
RECEPTION
* Answering Phones, Greeting Visitors, General Tidying of Office and Kitchen
SAFETY & OH&S
* Carryout Visitor Inductions & Maintain Visitors Induction Register
* Ensure compliance with Test and Tag regulations and Maintain Test and Tag Register
* Ensure compliance with First Aid Kits and Maintain First Aid Register
* Participate in Safety Meetings, and Contribute to the safety committee
