We are seeking a highly skilled Sales Administrator to provide exceptional support in the fast-paced world of real estate. I've had the pleasure of working in the Real Estate industry since 2003 and have had the opportunity to be involved in many different facets of the industry. I currently specialise in residential property, development site sales, project marketing, and leading our award-winning sales division. I am extremely proud to lead a dedicated team who are always striving to grow and improve despite their experience, accomplishments, or industry awards they have achieved.
Over the years, I have been recognised by the industry for achieving multiple State and National Awards for always pushing the boundaries to assist in changing the Real Estate landscape. Knowing that this is an industry that I have been a part of for so long and will be a part of for many years to come, I have made a commitment to myself to do my part to improve the quality of agents; not only within our team, but throughout our core area by taking a transparent approach, completely committing, offering clear and precise communication, incorporating innovative systems, professionalism, and points of difference.

Must have:

  • 3+ years supporting in a similar role or level 
  • Excellent calendar management skills, including the coordination of complex executive meetings 
  • Experience assisting management with the creation of presentations 
  • Strong knowledge of Google Workspace - docs, sheets, calendar, notes, drive and other apps that sync
  • Experience scheduling diary management 
  • 100% confidentiality in regards to appropriate information
  • Drivers License

Key Responsibilities: 

  • Calendar management, requiring interaction with both internal and external parties, to coordinate a variety of tasks/appointments and meetings 
  • Answering phones and handing enquires
  • Communicating and handling incoming and outgoing electronic communications
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner 
  • Ensure that the administration of any new listings are completed on behalf of the agent
  • Ensure that all new vendor experiences reflect our brand values and service
  • Ensure that all required  campaign activity is completed accurately and on time

Prospecting

  • Create a call list for the Sales Agent daily, importing and exporting data from database for these call lists: current vendors, buyers, past clients, A/B/C pipelines, market watch, networking group, sphere of influence.
  • Send text messages to potential buyers before sales campaigns commence
  • Send text messages to buyers inviting them to auctions
  • Send text messages to buyers advising of sales results
  • Using Ghost voicemail on appropriate campaigns
  • Adding clients to the agents database
  • Building and implementing agent profile marketing calendar of events

Appraisals

  • Create/ prepare Agency Agreements for Agent
  • Search Comparable sales/on the market properties for Agent
  • Make sure appraisals have set trails for follow up
  • Build appraisal kits
  • Keep listing kit relevant
  • Creating any appraisal letters or proposal documents

Listing

  • Scan and chase up contracts with solicitor where necessary
  • Ensuring that keys for properties are numbered and securely stored
  • Confirm the times for the sales team inspection with vendors
  • Regular updates of case studies in agents listing kit

Sales Process

  • Organising open for inspection times each week 
  • Database entry, price changes, offers and updates
  • General liaison with vendors and buyers
  • Ensuring that deposits and paperwork are provided to the accounts team upon sale
  • Track and follow through all signed contracts through to settlement

Open for Inspection

  • Create open for inspection kits
  • Organise any presentation items for the OFI, eg, flowers, cleaning etc
  • Assist at open for inspections where appropriate
  • Follow up text and email post open for inspection

Auctions

  • Booking of auctions
  • Chase up and check original contracts prior to auction
  • Prepare auction box before auction
  • Comprise bidders list and bidders kit

General

  • Interception of email, phone and face to face
  • General diary management
  • Organise an agenda and notes for Team Meeting
  • Attend any office sales meetings where necessary
  • Organise settlement packs 
  • Post any necessary letters to clients
  • Organising final inspection time
