Job description

My client is a leading Australia private integrated property group which has six decades of experience and during that period they have built an impressive portfolio , comprising major retail and commercial assets and development sites in both Australia and New Zealand. 

This role is for Queensland market and will involve reasonable amount of travel across regional Queensland from Longreach to Mount Isa , Coolangatta to Weipa, Dalby and up to Thursday Island. 

A typical month would include one trip per week as a day trip or overnight, there are times when there could be two trips in a week with two , three nights away. 

Company will pay all flights, accommodation , meals and hire car. 

Role overview:

 To provide administrative and estimating support during the delivery of the design and construction components of property development projects, static centres, hotel works, and any other works undertaken by the Company, ensuring that projects are delivered on time, within budget and meet performance and quality requirements.

Qualifications & Experience:

  • 5+ years’ experience in a similar role based in Australia. (Knowledge of relevant Building Codes & Standards essential)
  • Relevant tertiary education (e.g. Engineering, Construction Management, Quantity Surveying, Architecture)
  • Willingness to travel
  • Excellent interpersonal communication skills
  • Full Queensland drivers’ licence
 
Desirable:
  • Experience in retail contract administration.
Key area/values:

  • Contract Administration: managing the end-to-end contract administration process for projects, such as procurement of suppliers, subcontractor consultants and services, and the administration of those contracts through to finalisation of the project.
  • Project Finances: managing the financial aspects off the Head Contract, sub-contracts, and Consultant Agreements including progress claims and variations. Reporting when and as required.
  • Estimating: taking on the role of Estimator in addition to administration of contracts

Key Measures of success:

  • Subcontractor payment schedules are accurate, compliant with legislative requirements, and adhered to
  • Timely issue of CMVs, LWVs, DWVs, TWVs, HWVs and RRFIs
  • Subcontracts and procurement's are accurately administered.
  • Payments are correctly cost coded.
  • All PSA / WOAs / VO are executed prior to the commencement of works.
  • No compliance issues.   
  • Reports produced and issued on time.

  • Duties & Responsibilities will include but not limited to.
 
Project Administration
In conjunction with the Head of Project Management:
  • Head Contract Administration as directed by the HOD or HOPM
  • Providing input to the Monthly draw downs and cash flow management process
  • Preparing and submitting cost to date progress claims and invoices in conjunction with the HOPM
  • Preparing estimate costs for client requested scope changes in conjunction with the HOPM.
  • Assessing client instructions for variation to the Head Contract
  • Preparing Head Contract variations and claims for review and approval by the HOD and HOPM
 
Estimating
In conjunction with the Head of Project Management:
  • Reviewing potential development opportunities and creating cost plan(s), in conjunction with the HOPM, to assist the business during all phases of development and construction projects.
  • Preparing valuation/replacement cost schedules if and when required
  • Measuring / Take-off Quantities and generating element specific bills of quantities.
Post-Construction
In conjunction with the Head of Development and the Head of Project Management:
  • Securing the release of Bonds and Securities (held in favour of third parties) which are entitled to be redeemed at the completion of the builder’s obligations.
  • Participating in a Project Audit (successes and failures, lessons learnt, areas for improvement) post completion.
  • Preparing a project audit presentation as it relates to the Delivery division, in conjunction with the HOPM.
 
Procurement
In conjunction with the Head of Project Management (HOPM):
  • Ensuring the procurement campaign captures all the information relevant to the procurement of a trade, allowing it to be thoroughly analysed and a determination made on an appropriate method of procurement and the appointment of an appropriate subcontractor/consultant with a scope of works commensurate with the subcontractors’ core capabilities.
  • Reviewing and completing the Trade Budget in line with the overall project budget
  • Creation of Procurement Programs in line with the requirements of the Construction Program
 
Communication & Reports
  • Ensure the HOD and HOPM are fully informed at all times.
  • Ensuring monthly reports are accurately completed, including the Design Reports, Project Performance Review Reports, and the fortnightly Issues Tracking Register
  • Maintain a CA specific ITR.
