About the Role

We are seeking an enthusiastic and dynamic individual to join our team as the Team Assistant.

In this pivotal role, you will be the cornerstone of our department's success, providing high level support and service to our management team and administration guidance to the broader Finance Department.

Key accountabilities include:

  • Key contact for the senior leadership team and broader finance department on administrative issues.  
  • Review and respond to meeting requests and address conflicts within the Leader’s schedule, managing multiple Leaders calendars. 
  • Arrange international and domestic travel, visas, and accommodation, car and conference bookings as required with approved Santos processes and systems.
  • Draft weekly and/or monthly reports and ensure timely delivery of reporting requirements, as required.
  • Anticipate needs and initiate action to facilitate the work activities of the leaders.
  • Respond to general queries in a timely and efficient manner.
  • Assist in the preparing and formatting of ARC and Board Papers, presentations, and documents, ensuring standard formats are followed.
  • Process invoices and expenses in a timely manner via the Coupa financial system.
  • Assist in the planning, logistics, catering and administration of events such as team Town Halls, off-sites, and business meetings.
  • Frequent support to the CFO’s EA, printing, binding, collecting catering, meeting room set ups. 
  • Attend meetings as required and provide agenda, minutes, and action items.
  • New Starters, assist Leaders with onboarding new team members (ATEC/HAS/RAF, IT needs, desk allocation, SAP training invites)  

About You

Essential:

  • Previous administration experience
  • Extensive experience with Microsoft Outlook; Word, PowerPoint; Excel, Teams
  • Proactive, flexible with a bias for action
  • Positive, can-do attitude
  • Excellent oral and written communication skills
  • Able to show discretion with highly sensitive information

Desired:

  • Competence working with the following systems and applications: Coupa, SuccessFactors, and Sharepoint.

Ideally, you will have relevant qualification/s in administration or demonstrated experience.
