About the Role
The Team Administrator will see you providing administrative support across the Western Renewables Link (WRL) project. WRL is a critical piece of transmission infrastructure required to deliver energy from wind and solar farms in western Victoria to homes across the state and to the National Electricity Market the Network Infrastructure team in achieving the delivery of high – quality processes and outputs across the range of initiatives through providing administrative and coordination support.
This role will provide a range of support services and administrative assistance to the Delivery and Operations and Project Management Office teams of the WRL project, primarily based in Melbourne. Your contribution will help build on our positive team culture and contribute to maintaining a safe, supportive and effective workplace.
This role will report to the Senior Team Coordinator and matrix reporting to Director PMO and Director. Delivery & Operations and is located with CBD, Victoria.
We are a flexible and truly hybrid workplace.
What you will deliver
- Maintaining actions register and being a conduit to track and report on project actions between the project team and internal management.
- Review and prepare confidential reports, correspondence and presentations using the suite of applications, ensuring high quality and consistent messaging and reporting.
- Managing third party project correspondence, including complaints and external correspondence, and internal report and project management reports, including dashboard, presentation and minutes
- Managing management reporting document control, i.e. full accountability for maintaining records on key management communications, reports and external party engagement documents, including storing documents and version control.
- Preparing agendas and minutes for key internal project management meetings and periodic external stakeholder meetings as requested.
- Tracking and collating all the inputs required for internal and client progress reports, preparing the templates, formatting the reports, and issuing to the right recipients.
- Diary and meeting management, email management, minute taking and preparation in support of the Director, Delivery & Operations and Director, Project Management Office.
- Supporting the management of accounts authorization, processing purchase orders and invoicing, including liaison with the Commercial Manager.

- Tertiary qualification in relevant discipline.
- Expertise in standard office software such as Outlook, Word, Excel and PowerPoint.
- Strong experience in supporting and co-ordination functions for projects and project management teams.
- Experience working in an Executive Assistant / Project Coordination or other relevant role with similar scope.
- Ability to effectively work independently, solve problems and demonstrate proactivity.
- A high level of organizational skills and demonstrated effectively handling multiple tasks, setting priorities, managing timeframes and meeting deadlines under pressure.
- Excellent understanding of and expertise in standard office software such as Outlook, Word, Excel, and PowerPoint.
- Excellent organisational skills with the ability to deliver on a range of tasks for various stakeholders with tight deadlines.
- Strong customer focus and a continuous improvement mindset.
