Job Summary:
We are seeking a highly motivated and organized Treatment Coordinator to join our team in Templestowe & City Office. As a Treatment Coordinator, you will be responsible for the smooth onboarding process of New Clients, ensuring their seamless transition into our medical practice. You will play a crucial role in coordinating treatment plans, managing client expectations, and providing exceptional customer service. This position requires excellent communication skills and the ability to multitask effectively.
You would also be responsible to obtain and manage patient information in a timely and accurate manner, ensuring confidentiality and privacy standards are met. You are the face of the business. From welcoming new patients each day, to responding to any requests or concerns that might arise. This role would suit someone with impeccable customer service and system skills.
This role that you are applying for is a full-time position (9-day fortnight) with a 8 hour shift. The successful applicant will be required to work in both locations. No Saturdays or late nights.

Responsibilities:
- Welcome New Clients
- Take photographs of the teeth and listen to the concerns the person has about what they would like improved.
- Conduct initial consultations with clients to gather necessary information for treatment planning
- Collaborate with the Orthodontist to develop personalized treatment plans based on individual needs
- Communicate treatment options, costs, and timelines clearly to clients
- Coordinate appointments for diagnostic tests or consultations as required
- Provide detailed explanations of procedures or treatments to alleviate any concerns or questions from clients
- Ensure all necessary paperwork is completed accurately and efficiently during the onboarding process
- Maintain accurate records of client information including personal details, medical history, allergies etc.
- Meet and greet the potential patient and their family
- Manage incoming and outdoing general dentist referrals and letters
- Make follow up calls to potential patients that have had a consultation with you but not yet started
What we like about you
- Previous experience as Treatment Coordinator will be highly regarded but not essential.
- You’re not afraid of ticking off those routine processes that must be done each day
- You understand that first impressions count, so you have impeccable personal hygiene, appearance and are well groomed
- You’re great at building rapport with both children and adults in person and over the phone.
