Role description:
This role will be responsible to provide professional administrative support and control the reception to the office as required
Role accountabilities:
The main responsibilities of this role include, but are not limited to:
Handling all incoming telephone calls in an efficient and professional manner.
Welcoming visitors to the office in accordance with company standards.
Maintaining records of staff movements and out of office register for technical staff.
Arranging security passes for visitors and staff, where required. Ensuring the security card is audited and updated on a monthly basis.
Taking messages and passing on to appropriate staff.
Managing the booking of meeting rooms, ensuring the meeting rooms and the reception area remains tidy and clean.
Arranging lunches/refreshments for meeting rooms.
Organizing inwards and outwards couriers, as well as keeping accurate records.
Assisting with the servicing and the maintenance of the pool vehicles including having the pool vehicles washed when required.
Booking taxis and reserving car spaces for visitors if required.
Logging and arranging all cab charges and their associated costs
Assisting the general office with administration tasks as required.
Liaising with the OFM on visitors (internal and external) to the office
Assisting the OFM with additional tasks associated with the day to day running of the office
Arranging the monthly morning tea including the catering setting up of the kitchen and preparing the run sheet in conjunction with the OFM.
Ensuring the scanning of all documents is kept up to date and recorded as per the policy.
Engaging in basic tasks whilst still being able to control the higher end tasks in the office as requested by the OFM
Engaging in Continuing Professional Development (CPD).
Performing other duties and responsibilities as required from time to time by your manager or Arcadis.
Becoming familiar and compliant with Health and Safety regulations and guidelines
Qualifications & Experience:
Relevant experience in a professional environment
Organised, methodical and with a good work ethic.
Professional appearance and manner on the phone and in interaction with clients and staff
Commitment to customer service
Excellent communication and relationship building skills, both internally and externally
Good knowledge of Microsoft Office packages
Ability to prioritize work
