Your new role
As the Administration Assistant, you'll collaborate closely with the Office Manager, contributing to a diverse range of tasks. No two days will be alike! This role is perfect for individuals who thrive on variety and seek involvement in multifaceted responsibilities:
- Developing and maintaining both hard and soft copy filing systems within SharePoint and Local Files.
- Managing the IT inventory list and communication setup.
- Ensuring proper organisation and accessibility of physical and digital documents.
- Coordinating office supplies and overseeing general maintenance.
- Keeping contact lists and office procedures up-to-date.
- Assisting with new employee onboarding, including medical requests, police checks, and recruitment tasks.
- Booking travel arrangements for site staff through Corporate Traveller.
- Handling the 'Info' Mailbox and directing email queries.
- Supporting the Office Manager with website updates and announcements.
- Coordinating monthly reports.
- Providing general assistance to visitors and directing calls appropriately.
- Collaborating with other managers on administration matters as needed.
What you'll need to succeed
To thrive in this role, possessing the right attitude is equally crucial as having relevant experience. The ideal candidate will demonstrate:
- Administrative Exposure or Experience: Familiarity with administrative tasks or prior work in an administrative role.
- Effective Time Management and Communication: Strong skills in managing time efficiently and communicating effectively through both written and verbal channels.
- Computer Literacy: Comfort and proficiency in using computer systems.
- Desirable Skills (but not essential): Experience with Document Control, Filing, Archiving, or SharePoint.
- Prioritisation and Multitasking Abilities: The capability to prioritise tasks and handle multiple responsibilities simultaneously.
