Mt Maria College, North Brisbane’s first Catholic Co-Educational College, was established in 1978. We are seeking a friendly and approachable Administration Assistant to support our Student Wellbeing Support team.
Key Responsibilities
- Providing administrative support to Middle Leaders and Guidance Counsellors
- First point of contact for students accessing the Counselling/Wellbeing Centre including for triage and initial assessments.
- Assist students to complete self-referral forms (alerting the Counsellors to urgent matters in a timely manner) Maintaining a record of students using the chill out zone (sign in, sign out system) and informing Guidance Counsellors, Pastoral Leaders and parents if required
- Assist in scheduling Guidance Counsellor/Pastoral Leader appointments
- Assist in the organisation of events run by the Guidance Counsellors- including Child Protection Week, Mental Health Week etc.
- Liaise with the Communications Officer regarding updates to the College website with respect to careers and counselling matters.
- Coordinate all camps and prepare documentation including medical forms.
- Provide administrative support to Curriculum Leaders as required
- Prepare correspondence for House Coordinators and liaise with parents as required
- Maintain the detention database in consultation with the academic and pastoral teams and make contact with parents/students to advise of detentions.
- Monitor student absenteeism and flag with Pastoral leaders/Guidance Counsellors/parents
- General administrative duties- preparing documents, filing, answering phone calls and emails.
- Perform basic first aid for students and oversee students attending sick bay
- At least 2-3 years administration experience, previous experience in a school environment would be advantageous
- Demonstrated strong time management and organisation skills with the ability to work well under pressure and to meet deadlines; and be able to respond rapidly to change
- Approachable and friendly manner, ability to work in a team environment
- Demonstrated strong administration skills; possess the ability to work autonomously with minimal supervision
- Strong communication and interpersonal skills - both oral and written (ability to relate well on phone and in person with parents, students and employees at all levels of the College)
- Demonstrated strong computer skills in all Microsoft applications. Previous database experience in updating and retrieving data for reports (with excellent accuracy), preferably in a school database system.
- Possess a strong commitment to the pastoral care of students
- Strong work ethic in ensuring confidentiality and discretion in all matters
- Current First Aid Certificate (or ability to obtain)
- hold a Paid Employee Positive Notice Blue Card prior to commencement;
- be eligible to work in Australia for the duration of the appointment; and
- have a commitment to and understanding of the ethos and traditions of Catholic Education.
