About the Role
As the Administration Assistant you will provide administration and secretarial support to the Director, Advancement and provides support across the functional areas of Advancement including high level administrative support for the Associate Director, Philanthropy reflecting a culture of professionalism and excellence across the portfolio.
You will be responsible for a variety of tasks including diary management for Director and Associate Director, travel management, coordination of meetings/events with senior internal stakeholders including major donors, high-profile alumni, maintaining records on Raiser’s Edge CRM, processing accounts payable and credit cards, and managing stationery/office equipment purchases for the units. The role also provides support for special projects, urgent priorities, for recruitment administration and on-boarding of new team members as well as preparing papers for meetings, coordinating divisional events and resolving issues as they arise.

About You
To be suitable for this role you will need to have experience in the below key accountabilities:
  • Demonstrated experience in providing high-level administrative support including the ability to deal with information of a sensitive and confidential nature.
  • Excellent interpersonal, written, and verbal communication and relationship management skills with demonstrated ability to communicate across cultures, and with staff at all levels of an organisation.
  • Ability to be proactive and show initiative, to work independently and be an effective team member.
  • Discretion and diplomacy and always maintaining confidentiality.
  • Sound analytical and conceptual skills, with the ability to collect and interpret relevant information and find appropriate solutions to complex problems.
  • Well-developed IT skills including high level of competency in the use of word processing, spreadsheet, and e-mail, in particular MS Office applications.
Qualifications
A degree with subsequent relevant experience or extensive experience and broad knowledge in senior administrative fields.
