Who We Are Looking For:
We're on the hunt for a dedicated Clinic Receptionist/Administrator to be the welcoming face and organisational backbone of our clinic. This role is perfect for someone who thrives in a fast-paced environment, enjoys multitasking, and possesses a friendly, service-oriented demeanor. Your primary responsibility will be ensuring our clinic operates smoothly and efficiently, providing top-notch administrative support and a warm welcome to our clients and their families.
Key Responsibilities:
- Serve as the first point of contact for clients, greeting them in person and answering incoming calls with a friendly and professional manner.
- Manage client bookings, inquiries, and administrative tasks with precision and care.
- Scheduling appointments efficiently to optimise therapists’ schedules and client satisfaction.
- Managing client records and documentation with attention to accuracy and privacy.
- Providing administrative support for billing and insurance claims processing.
- Support the clinic director and therapists by handling additional administrative tasks as needed.
- Maintain the clinic’s cleanliness and ensure supplies are well-stocked.
- Assisting in the coordination of clinic events.
- Assist in managing social media presence and contribute to the clinic's growth initiatives.

What You Will Bring:
- Prior experience in administrative roles, preferably within an allied health clinic.
- Exceptional communication and organisational skills, with a knack for multitasking.
- Proficiency with practice management systems (e.g., PracSuite, Halaxy, Cliniko) and tech-savviness.
- Strong proficiency in Google applications and the ability to learn new software quickly.
- Excellent telephone etiquette and the ability to manage multiple phone lines.
- A proactive approach to problem-solving and the ability to handle confidential information with discretion.
- A positive attitude and the ability to work well under pressure.
- An interest in contributing to social media and marketing efforts.
