Role Purpose
The Event Coordinator plays a crucial role in successfully managing, overseeing and executing events. This position involves coordinating all aspects of events from conception to completion, ensuring that they run smoothly and meet or exceed the expectations of clients or stakeholders.
Primary Responsibilities
- Create a clear understanding of each event’s objective and requirements. Developing event concepts, themes, and proposals to meet Cocoon SDA Care needs.
- Research and recommend suitable venues based on the type of event and budget. Oversee the setup and decoration of the event space, including seating arrangements, lighting, audio visual equipment and any other event set up requirement.
- Identify and a recommended list of contract vendors such as caterers, photographers, AV, lighting, venues, security, transportation, and entertainment.
- Negotiate all contracts, review, and submit proposals, and ensure vendor compliance with all agreements and contracts.
- Develop and manage event budgets, ensuring that expenses stay within that budget. Keep accurate financial records and provide regular updates of spending to the reporting manager.
- Handle registrations, rsvp’s and guests lists for all events.
- Coordinate event promotion, including creating marketing materials and high social media promotion.
- Proficiency in marketing strategies to drive ticket sales or event attendance.
Obtain feedback from attendees and staff to assess the success of the event. Prepare post-event reports and recommend improvements for future events.

- Experience in forming partnerships with relevant businesses or can create event Sponsors to create more reach organisations to promote events and boost attendance.
- Proven experience in marketing and promotion, including social media management and advertising.
- Understanding audio-visual equipment and technical requirements for different types of events.
- Staying up to date with the latest social media trends and technologies to ensure that the event’s social media is professional and remains current.
- Creating checklists for marketing at events including all social media outlet
