Job Title: Executive Assistant
Job Summary:
We are seeking a highly organised and efficient Executive Assistant to provide comprehensive support to the CEO, Natalie Paterson, and report directly to her. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple tasks simultaneously. In addition to traditional administrative duties, this role will involve personal tasks as well as event support and financial responsibilities.
Responsibilities:
1. Personal Assistance:
Walk the CEO's dog and ensure their well-being.
Handle laundry duties, including washing, folding, and organising clothing.
Coordinate with the chef to pick up meals or groceries as needed.
Other ad-hoc tasks that may arise.
2. Event Support:
Attend events as required and provide assistance as directed.
Ensure all necessary arrangements are made for events, including seating and logistics.
Inform/Communicate to event attendees
Event Organisation and other ad-hoc tasks for events
3. Administrative Support:
Manage the CEO's calendar, scheduling appointments, meetings, and travel arrangements.
Monitor and respond to emails on behalf of the CEO, ensuring timely and appropriate communication.
Take minutes during meetings and distribute them to relevant parties.
Create back-end SOPs and create systems and structure in the business.
4. Financial Responsibilities:
Assist with payment processing and accounting tasks, including invoicing, expense tracking, and budget management.
Coordinate with external vendors and financial institutions as needed.
5. Additional Tasks:
Handle any other ad-hoc tasks that arise, demonstrating flexibility and adaptability.
Organise beauty appointments and other personal grooming services as required.
When required, videos, photos, and Instagram tasks, communication on all platforms, posting content.
Requirements:
Proven experience as an Executive Assistant or in a similar role.
Exceptional organisational and time management skills.
Strong written and verbal communication abilities.
Ability to maintain confidentiality and handle sensitive information with discretion.
Proficiency in Microsoft Office and other relevant software.
Flexibility to adapt to changing priorities and work outside traditional office hours if necessary.
Valid driver's license and reliable transportation for personal errands.
Good attention to detail
Open to work on weekends when running events
Must be good at social media
Must love dogs
Preferred Qualifications:
Prior experience in event planning or coordination.
Familiarity with basic accounting principles.
Previous experience working in a high-pressure environment.
Able to work 9am-5pm AEST
Able to work from home and on-site in Palm Beach
