The Client is seeking a Executive Assistant - APS 4 and APS 5
The Executive Assistant/Coordination Officer works in direct support for two Branch Heads as the Executive Assistant and provides broader coordination support across the Space Division. The role is accountable under limited direction to perform and achieve moderately complex high-level administrative support work. They will be accountable for organising their workflow, making decisions within their defined parameters relating to area of responsibility and will seek guidance when required and must clearly understand the goals, values and needs of both the programs and the Senior Executive Team.
Working with a level of independence, in this role you will:
- Provide high-level administrative support to the Branch Heads and Senior Executive Team that is informed and directed by their knowledge of the administration function, and you may be required to undertake some research, analysis and secretariat activities.
- Be responsible for monitoring, collating, and communicating Division input to coordination requests, setting work priorities, sharing information, establishing and monitoring work practices and developing local procedures, and supporting the Divisional administrative support team.
- Be required to communicate with, respond and provide advice to a range of stakeholders on moderately complex operational and administrative issues to achieve Branch outcomes.
- Diary, email, and travel management as required
- have exceptional organisational and communication skills, an engaging and professional presence with the ability to establish and maintain key relationships and successful working relationships with a range of stakeholders. You will engage directly with various internal and external stakeholders, government and officials.
- have sound decision-making and judgement skills and will be accountable to set and manage work priorities, provide clear and consistent communication, manage workflow, tasks and resources, whilst working in a busy environment.
- have strong coordination skills, including the ability to meet deadlines, follow and contribute to procedures and provide highly effective, timely, and efficient executive support to the Branch
- Head and Senior Executive Team and Divisional support team as needed.
- be required to identify, anticipate and respond to stakeholders’ needs and expectations and to have a good understanding of relevant legislative frameworks, government decision-making.
- Previous experience in similar roles will be highly regarded.
Security Requirements: Applicants must be Australian Citizens and hold a baseline security clearance.
