A vacancy exists for an Executive Assistant to the General Manager / Director Clinical Services (GM/DCS) of Deakin Private Hospital in Canberra. This is a full-time office-based role however we are happy to consider reducing this to a four-day week for the right applicant.
This role will appeal to applicants with experience or an interest in recruitment as coordination of this process, in liaison with the GM/DCS is a key task of the EA. We are looking for someone who will be excited to bring their skills, willingness to learn and enthusiasm to become part of the wider hospital team here at Deakin Private. This role provides you with the opportunity to work autonomously with the support of other hospital staff and a wider iMH Executive Assistant team.
The position
The role of the Executive Assistant is to ensure the provision of efficient and effective administrative support services to the General Manager/Director of Clinical Services & the executive team.
Key duties:
- Oversee the GM/Director of Clinical Services administration requirements including, answering telephone enquiries, monitoring emails, coordinating calendars and correspondence.
- Coordinate meetings, manage attendee lists and invitations on behalf of the GM/Director of Clinical Services - prepare and distribute minutes and agendas.
- Attend to general executive office matters, such as distribution of memo’s / minutes etc., faxing, photocopying, and collating, filing, archiving.
- Coordinate the credentialing process for doctors.
- Maintain & monitor accurate files for Credentialed staff and Doctors.
- Maintain accurate staff HR files.
- Oversee timesheets for senior staff as directed by the CEO / Director of Clinical Services.
- Travel bookings
Essential Criteria:
- Experience in an Executive Assistant role and in a hospital, setting would be an advantage.
- Sound computer skills in Microsoft Office Suite.
- Advanced time management and organisational skills
- Sound documentation and report writing skills.
- Excellent communication and liaison skills.
- Possess the capability to work autonomously, responsibly and the ability to meet deadlines and prioritise tasks.

- Working with vulnerable people’s check
- It is mandatory for all iMH employees are fully vaccinated against COVID-19 and influenza.
