The Opportunity:
Urbis has an opportunity for an experienced Executive Assistant to join the team in Brisbane!
You will play an integral role in supporting lead Directors within our Future State business unit, ensuring the seamless delivery of operational and project administrative assistance.
This role requires a proactive individual with a forward-thinking approach to navigate and mitigate conflicting priorities and deadlines, while maintaining a client-centric approach and professional demeanour.
You will actively engage with diverse internal and external stakeholders, therefore possessing excellent client service and communication skills is necessary for success.
You will:
Manage and monitor emails fielding and responding to calls and emails, coordinating appointments, and determining appropriate actions.
Demonstrate expert time management skills with an ability to consistently manage competing tasks, timeframes, and priorities efficiently.
Provide diary management, organise conferences and travel arrangements as needed which may include flight and hotel bookings, car hire arrangements, and other transportation arrangements.
Provide administrative support to the wider team including report and document preparation, including compilation and formatting, word processing, data entry support and excel formatting.
Coordination of tender responses and document production generally, in a fast and accurate manner.
Manage expenses, including data input of expenses and reimbursements and the reconciliation of credit card invoices and reports.
Preparing marketing material and presentations.
Provide a high level of technical support on all Microsoft Office Suite software, Urbis Practice Management System (BST) and expense management systems.
Complete other duties as directed.
About you:
Demonstrated experience in a similar role supporting multiple stakeholders.
Brings a positive and ‘can do' attitude
Ability to develop strong rapport with team members
High attention to detail
Excellent knowledge and skills in Microsoft Office suite of products (Teams, Outlook, Word, PowerPoint and Excel in particular);
High proficiency in both spelling and grammar
Exceptional time management and organisational skills
