About the Opportunity
Directly supporting the Deputy General Secretary (Member Organising), you will provide a high level of confidential administrative support in a fast paced environment where prioritisation and initiative is essential. This role is commonly referred to as the Secretary to the DGS (MO).
While no two days will be the same, your tasks will include:
- Being the first point of contact for internal and external stakeholders, including members and managing stakeholder expectations.
- Completing diary and e-mail management tasks for meetings, travel, committees and external boards.
- Preparing documents including meeting agendas, minutes, presentations and correspondence.
- Organising and completing corporate services documentation including credit card reconciliations and leave applications.
- Managing the Deputy General Secretary’s office in their absence.
About You
To be successful in this position you will have:
- Significant experience in Executive/Personal Assistant roles, supporting Senior Leaders.
- An advanced level in the Microsoft Office suite of products and the ability to learn new systems.
- Attention to detail.
- Strong decision-making and time management skills.
- A high level of verbal and written communication skills, including the ability to communicate at all levels, both internally and externally with confidence (including media, as and when required).
- Strong organisational skills and the ability to successfully manage competing priorities.
- The capability to work independently and collaboratively in a team environment.
